Exhibitor badges and visitor badges are different orders

If you are exhibiting, the badge belongs to your company, not the fair. The organiser's accreditation already says which show it is. What the visitor needs from your stand team is a first name and a company they recognise, in your colours, legible from the aisle. Most exhibitors order one set for the stand team, or one for the whole field sales team, and keep it with the stand.

If you are organising the fair, the badge is the credential. Visitors, exhibitors, press and staff each come back in their own colour from one spreadsheet, with a QR code per badge for lead scanning if you want it. For a fair with thousands of registrations, the attendee-list run is covered on our convention badges page, quoted instantly up to 2,000 badges.

What a badge has to do on an exhibition stand

Be read from two or three metres. That is the distance at which a visitor decides whether to step onto the stand, and it argues for A6 over A7, first name larger than surname, company larger than job title. A matte laminate handles the overhead hall lighting without the hotspot a glossy surface throws back.

Say what the person is for. A role line under the name, sales, technical, press contact, tells the visitor who to ask, and the same badge can carry a QR code to your product page or a booking link for a follow-up call. Then match the lanyard to the stand: plain lanyards in nine colours ship with the badges, and custom printed lanyards carry your logo down the whole length.

Who wears a badge at a trade show

Six roles, each with its own design or colour, in one order:

Stand staff

First name and company, set large. The badge a visitor reads before deciding whether to stop.

Exhibitor manager

The person the organiser, the contractors and the sales team all need to find. A distinct design saves the search.

Trade visitor

Name, company and job title, so a stand knows within a second whether this is a buyer or a browser.

Buyer or VIP guest

Hosted buyers, invited by name. A separate colour gets them past the stand and into the meeting room.

Press

Marked clearly, so the stand team knows when to hand over the press kit instead of the price list.

Build and breakdown crew

Your own contractors, identified during the hours the hall is closed to everyone else.

Laminated vs plastic vs durable paper for exhibitions

All three carry names, company and QR codes at any volume. Pick by how many fairs the badge has to last.

Art fairs and gallery openings

The same badges, with one change of advice. Gallery lighting is set to flatter the walls, so it punishes anything glossy at chest height. For a private view or an art fair week, choose matte laminate or natural paper, keep the design to a name and a small mark, and the badge reads from every angle without appearing in a single photograph.

Exhibition badge questions

If you can't find what you're looking for, get in touch.

Can we order exhibition badges just for our own stand staff?

Yes. Most exhibitor orders are exactly that: badges for the people working the stand, carrying your company's branding rather than the fair's. The minimum is 50 badges, which usually covers the stand team across every shift, or the whole field sales team for the season.

Should the badge show our company or the name of the fair?

If you are exhibiting, your company. Visitors are looking for a name and a business they recognise, and the organiser's accreditation already says which fair it is. If you are the organiser, the fair's branding goes on and the badge colour marks visitor, exhibitor, press and staff.

Can the same badges be used at several trade fairs?

Plastic Badges are made for it. Print name, company and role with no date or venue, and the same set goes into the stand kit for every fair that year. They hold up to months of handling and look the same at the last show as the first.

What size reads across an exhibition aisle?

A6, 105x148mm. Visitors decide whether to stop at a stand from two or three metres away, and a first name and company set large on A6 is legible at that distance. A7 is fine where the badge is read up close, at a reception desk or a seminar door.

How far ahead of the fair should we order?

Laminated and classic paper badges take 3 days to produce, plastic 4, with tracked DHL Express delivery on top. Two weeks before the fair opens is comfortable.

Have them delivered to your office rather than the hall: parcels arriving during build-up tend to end up in a marshalling yard, not on your stand.

Can visitor badges carry a QR code for lead scanning?

Yes. A QR code can be printed on each badge, unique per visitor, so exhibitors scan a badge and the visitor's details land in their lead list. It can equally point at your company website, the fair app or a product page, and it is printed at no extra cost.

Do you print badges for gallery openings and art fairs as well?

Yes, and the advice changes a little. Gallery lighting is set to flatter the walls, so a glossy badge catches it as glare. Matte laminated badges or natural paper stay readable from every angle, and a name in a good typeface on a plain field prints as cleanly as a full design.
