Privacy Policy

This policy explains what personal data BadgeGo collects, why, who we share it with and how long we keep it. It applies to badgego.com and to orders placed with us.

Who we are

BadgeGo is operated by Check Ventures OÜ, registered in Estonia (company no. 12623315, VAT EE101759108), Pilve 6, 10122 Tallinn, Estonia. For anything about your data, email hello@badgego.com.

For data you send us about yourself, such as your name and email, we are the controller. For attendee lists you send us to print badges, you (the organiser) are the controller and we process that data on your behalf, only to produce your order. A data processing agreement is available on request.

What we collect

When you request a quote. Your name or company name, email address, and the order details you choose (badge type, size, quantity).

When you request samples. Your name, email, company, postal address and any notes you add. If you choose to answer the follow-up questions, also your event size and type.

When you ask for a delivery estimate. Your email, delivery city and country, event date, badge type and the quantities you enter.

When you place an order. Billing and delivery details, the contact person for the delivery, and the badge data you supply. Badge data is usually attendee names, job titles and company names, and may include logos, QR codes or other content you ask us to print.

When you email us. Whatever you include in your message.

When you browse the site. If you accept cookies, Google Analytics records how the site is used: pages visited, device and browser type, approximate location and how you arrived. We may also use Google Ads cookies to measure whether our ads lead to enquiries. If you reject cookies, none of these are set.

We do not ask for special category data. If an attendee list contains it, for example a dietary or accessibility note on a badge, it is printed as supplied and handled in the same way as the rest of the list.

Why we use it

To prepare quotes, send samples and answer questions. Legal basis: steps taken at your request before a contract.
To produce, ship and invoice your order. Legal basis: performance of a contract.
To keep accounting records. Legal basis: legal obligation.
To understand how the site is used, improve it and measure our advertising. Legal basis: your consent, which you can withdraw at any time.
To protect our forms from spam and abuse, using Cloudflare Turnstile. Legal basis: our legitimate interest in keeping the site secure.
To follow up on a quote or sample request you made. Legal basis: our legitimate interest in replying to business enquiries. We do not send newsletters.

We share only what each provider needs to do its job:

Couriers (such as DHL Express): delivery name, address, phone number and parcel details.
Payment providers (Stripe, Wise and our bank): billing details and payment information. We never see or store full card numbers.
Cloudflare: hosts this website, processes form submissions, checks them for spam and stores files you upload.
Fastmail: runs our email, including the messages our forms send us.
Design and file tools (Adobe Creative Cloud, Google Sheets and Dropbox): to open, prepare and store your artwork and attendee lists while we produce your order.
Google (Google Analytics and Google Ads): usage data, only if you accept cookies.

We do not sell personal data or share it for anyone else's marketing.

Transfers outside the EU

Some providers, including Cloudflare, Fastmail, Google, Adobe, Dropbox and Stripe, may process data outside the European Economic Area. Where they do, the transfer is covered by the EU-US Data Privacy Framework or by the European Commission's Standard Contractual Clauses.

How long we keep it

Attendee lists and badge files: deleted 30 days after delivery. If you need a reprint after that, send the list again.
Quotes, sample requests and correspondence: kept while the enquiry is active and for up to two years after our last contact, so we can refer back to past orders.
Invoices and accounting records: kept for seven years, as required by Estonian accounting law.
Analytics data: kept for 14 months.

Cookies

The site works without cookies. Google cookies are set only after you accept them in the cookie banner. Your choice is saved in your browser, and you can change it at any time with the Cookie settings link at the bottom of every page.

Your rights

You can ask us to access, correct or delete your data, to restrict or object to its use, or to receive it in a portable format. Where we rely on consent, you can withdraw it at any time. Email hello@badgego.com and we will reply within one month.

If an attendee on a badge list wants to use these rights, we will pass the request to the organiser who sent the list, since they are the controller for it.

You can also complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, aki.ee) or to the data protection authority where you live.

Security

Files are stored with access limited to the people working on your order, and data is sent over encrypted connections.

Changes

If we change this policy, we will update the date at the top of this page.
